How to put a bank statement into a spreadsheet
Quick answer
Download a CSV from your online banking if you can; it is the most reliable. Clean it up so dates and amounts work in a spreadsheet. If you only have a PDF, convert it and check the flagged lines.
Bank statement to CSVFree, no sign-up, and your files never leave your device.
Open the toolStep by step
- In online banking, look for Export, Download or Statements and choose CSV if it is offered.
- With a CSV: open Clean up a bank CSV, add it, select Clean up CSV and download the cleaned file.
- With only a PDF: open Bank statement to CSV, add it, select Make CSV and download the transactions.
- Open the file in Excel, Numbers or Google Sheets. Check the Check column first.
Tips
- Every line of a PDF conversion is checked against the running balance; anything that doesn’t add up is marked.
- Dates are written as 2026-03-31 so they sort correctly in any spreadsheet.
- Scanned or photographed statements can’t be read yet. Download the PDF from online banking instead.
If something goes wrong
Excel shows strange characters like £.
Keep “Open correctly in Excel” ticked; it adds a marker that tells Excel the file is UTF-8.
It says no transactions were found.
That statement layout isn’t supported yet. Most banks also offer CSV, which always works.
